What are Offers?

Offers are special promotions that go beyond standard perk discounts:

  • Time-limited: Active for specific date ranges
  • Targeted: Can be sent to specific customer segments
  • Push notifications: Delivered directly to wallet passes
  • Usage-limited: Can restrict redemptions per customer

Types of Offers

Global Offers

Available to all VIP customers:

Ladies Night
Every Thursday, all female VIP cardholders
get 50% off drinks from 9-11pm
Valid: Every Thursday
Redemptions: Unlimited

Targeted Offers

Sent to specific customer segments:

Platinum Weekend Special
Platinum VIP members only
Free cover charge this Saturday
Valid: Feb 17, 2026
Redemptions: Once per customer

Location-Specific Offers

Only valid at one location:

Rooftop Grand Opening
50% off all drinks tonight!
Valid at: Rooftop Lounge only
Valid: Feb 17, 2026, 8pm-midnight

Creating an Offer

Who Can Create Offers?

  • Tenant Admins: Create offers for any location
  • Location Admins: Cannot create offers (view only)

Step-by-Step: Create an Offer

  1. Navigate to Offers

    • Click "Offers" in main navigation
    • Click "+ New Offer" button
  2. Offer Details

    Title: "Happy Hour Special"
    Description: "50% off all drinks 5-7pm"
    Terms: "Valid for VIP cardholders. Not combinable with other offers."
  3. Offer Type

    • Global: All customers
    • Targeted: Specific tiers or segments
  4. Set Validity Period

    Start Date: Feb 17, 2026 5:00 PM
    End Date: Feb 17, 2026 7:00 PM
    Recurring: No (or set recurrence pattern)
  5. Set Redemption Limits

    • Unlimited: Customer can use multiple times
    • Once per customer: Single redemption
    • Total limit: Max redemptions across all customers (e.g., "First 50 customers")
  6. Select Locations

    • Choose which locations can honor this offer
    • Can be one location or multiple
  7. Target Audience (if Targeted offer)

    • Select card tiers (Silver, Gold, Platinum)
    • Filter by customer attributes
    • Choose specific customers
  8. Preview & Publish

    • Review offer details
    • Click "Publish Offer"
    • Push notification sent immediately to wallet passes

Offer Redemption

How Customers Redeem

  1. Customer receives push notification on their wallet pass
  2. Customer opens wallet to see offer details
  3. Customer presents offer at bar or door
  4. Staff validates offer code or manually applies discount
  5. System marks offer as redeemed

Validating Offers at POS

Method 1: Scan Offer Code

  1. Customer shows offer in wallet
  2. Scan the unique offer code
  3. System validates and applies discount
  4. Offer marked as used

Method 2: Manual Validation

  1. Customer mentions the offer
  2. Staff looks up active offers
  3. Verifies customer is eligible
  4. Manually applies offer discount
  5. Enters offer code in system

Offer Application Rules

Offer can be applied if:

  • Customer has valid VIP card
  • Current date/time within offer validity
  • Customer hasn't exceeded redemption limit
  • Customer matches target criteria (if targeted)
  • Location matches offer locations

Offer CANNOT be applied if:

  • Offer expired or not yet active
  • Customer already redeemed (if single-use)
  • Customer not in target audience
  • Wrong location
  • Offer at capacity (if total limit set)

Managing Active Offers

Editing Offers

Can be edited:

  • Description text
  • Terms and conditions
  • End date (extend or shorten)

Cannot be edited:

  • Start date (if already started)
  • Offer type (global vs targeted)
  • Redemption limits (to prevent fraud)

To edit:

  1. Find offer in Offers list
  2. Click "Edit"
  3. Make changes
  4. Click "Save Changes"
  5. Update is pushed to all wallet passes

Pausing Offers

To temporarily disable an offer:

  1. Edit the offer
  2. Toggle "Active" to OFF
  3. Save changes

Effect:

  • Offer disappears from wallet passes
  • New redemptions blocked
  • Can be re-enabled anytime
  • Already-redeemed offers logged permanently

Canceling Offers

To permanently end an offer early:

  1. Edit the offer
  2. Change End Date to now
  3. Or toggle "Active" to OFF
  4. Save changes

Note: Cannot delete offers with redemption history (audit requirement)

Example 1: Happy Hour

Title: "Daily Happy Hour"
Description: "50% off all drinks 5-7pm, Monday-Friday"
Type: Global
Valid: Recurring, Mon-Fri, 5-7pm
Locations: All locations
Redemptions: Unlimited
Target: All VIP cardholders

Example 2: Birthday Month

Title: "Birthday Month Special"
Description: "Free cover + 1 free drink for your birthday month!"

Valid: Customer's birthday month

Offer Best Practices

Do's

Create urgency

  • Time-limited offers drive action
  • "Tonight only" or "First 50 customers"
  • Clear end times

Be specific

  • "50% off drinks" not "great deal"
  • State restrictions clearly
  • Include expiration date

Test and measure

  • Start with small offers
  • Track redemption rates
  • Measure revenue impact

Communicate clearly

  • Simple, concise descriptions
  • Terms and conditions visible
  • Staff trained on offer details

Don'ts

Don't over-promote

  • Too many offers reduce perceived value
  • Customers wait for deals instead of paying full price
  • Limit to 2-3 offers per month

Don't make them too complicated

  • Complex rules confuse customers
  • Keep redemption simple
  • Avoid excessive restrictions

Don't forget profit margins

  • Deep discounts can hurt profitability
  • Calculate breakeven
  • Monitor offer ROI

Monitoring Offer Performance

  • % of eligible customers who redeemed
  • Target: 20-40% for global offers, 50-70% for targeted

Revenue Impact

  • Did offer increase overall revenue?
  • New customers vs. existing customers
  • Average tab size with offer

Customer Acquisition

  • How many new enrollments from offer?
  • Did lapsed customers return?

Push Notifications

How Push Notifications Work

When you publish an offer:

  1. System sends update to wallet service (Apple/Google)
  2. Wallet service pushes to customer devices
  3. Customer sees notification on lock screen
  4. Opening wallet shows full offer details

Push Notification Best Practices

Timing matters:

  • Send morning notifications for evening events
  • 2-4 hours advance notice ideal
  • Avoid late-night notifications (spam complaints)

Content matters:

  • First 60 characters appear in notification
  • Make the value clear immediately

Frequency matters:

  • Don't push multiple offers per day
  • Maximum 2-3 offers per week
  • Respect customer preferences

Offer Fraud Prevention

Red Flags

Same offer redeemed multiple times (when limited to once)

  • Check redemption log
  • Verify customer identity

Offer used at wrong location

  • System should block automatically
  • Manual override requires manager approval

Expired offer presented

  • System should block
  • Don't manually accept expired offers

Preventing Offer Abuse

Technical controls:

  • Unique offer codes per customer
  • One-time use enforcement
  • Automatic expiration

Staff training:

  • Verify offer validity in system
  • Don't accept verbal claims without verification
  • Manager approval for exceptions

Troubleshooting Offers

Customer Didn't Receive Offer

Check:

  1. Is offer published and active?
  2. Does customer match target criteria?
  3. Is customer's wallet pass up-to-date?
  4. Do they have notifications enabled?

Solution:

  • Customer can see offers in wallet manually
  • No notification needed to use offer

Offer Won't Validate

Common causes:

  1. Offer expired
  2. Customer already redeemed (if single-use)
  3. Wrong location
  4. Customer not in target audience

Solution:

  • Check offer details in system
  • Explain restriction to customer
  • Call manager if exception needed

Wrong Offer Appearing

If customer sees old/cancelled offer:

  • Wallet passes cache for 24 hours
  • Ask customer to manually refresh pass
  • System will sync latest offers
