Glossary

Definitions of key terms used in the Hedges VIP platform.

A

Acquire Top-level sidebar section for tools that bring Members in: Sign-Up Assets, Coupons, and the Outside Promotions Program.

Announcement A push message sent to Members' wallet passes without a redemption attached. Lives in Engage → Announcements (formerly known as "Push Promotions").

Audit Log A permanent, append-only record of all significant actions in the system. Includes who performed the action, what was changed, when it occurred, and why (if applicable). Cannot be modified or deleted.

ACTIVE (Card Status) A card that is currently valid and can be used for entry, redemption, and receiving offers.

Auditor Deprecated. The Auditor role has been retired. Anyone previously assigned the Auditor role has been promoted to Location Admin with the same location scope.

B

Bar Redemption The process of validating a Member's ticket at the bar and applying their VIP discount to their tab.

Barcode The scannable code displayed on a wallet pass, used for quick entry at the door. Typically a QR code format.

Business Date The date used for operational purposes, which may differ from the calendar date. Determined by a configurable cutoff time (typically 6am). Example: An entry at 2am may belong to the previous business date if the cutoff is 6am.

C

Card Category A classification of card types, such as "VIP Members" or "Service Industry". Each category can have multiple tiers.

Card Design The Settings workspace where Org Admins customize wallet pass templates — colors, logo, layout, tier badges. Consolidates the former /wallet-editor and /wallet-templates pages.

Card Instance A specific VIP card issued to a Member. A Member can only have one active card per Organization.

Card Level (Tier) A rank within a card category (e.g., Silver, Gold, Platinum), each with different benefits and discounts.

Card Tier See Card Level.

Coupon A discount code issued to specific Members or guest groups. Lives under Acquire → Coupons. Distinct from Offers (push promotions) and Perks (tier-attached benefits).

Cover Charge An entry fee charged at the door. VIP cardholders may receive discounted or free cover as part of their perks.

Credential Code See Card Code.

Card Code The unique alphanumeric identifier assigned to each VIP card, displayed below the barcode on wallet passes. Can be manually entered if scanning fails.

MLV (Member Lifetime Value) The total net revenue expected from a Member over their entire relationship with your Organization, calculated as: (Average Spend × Visit Frequency × Lifespan) - Total Discounts.

D

Discount Rate The percentage of revenue given back to Members as discounts. Calculated as: Total Discounts / Gross Revenue × 100.

Door Scanning The process of validating a Member's VIP card at venue entry to grant access and issue a ticket. Lives under Floor → Door in the admin sidebar, or directly in the Door kiosk mode for Staff.

E

Engage Top-level sidebar section for tools that keep Members coming back: Announcements, Offers, and Perks.

Enrollment The process of signing up a new Member for a VIP card. Can be done via Sign-Up QR code or by Staff using the Sign-Up Scanner kiosk mode.

EXPIRED_INACTIVITY (Card Status) A card that has been automatically expired due to no visits for 6+ months. The Member must re-enroll to receive a new card.

F

First-Time Visitor A Member visiting a venue for the first time. Useful for tracking new Member acquisition.

Floor Top-level sidebar section for live, in-venue operations: Door, Sign-Up Scanner, Bar / Ticket Redemption, and Live Activity. Visible to admins for oversight; Staff devices land directly inside one of these tools via kiosk mode.

Fraud Alert A system-generated warning indicating suspicious activity, such as repeated invalid scan attempts or impossible redemption patterns.

G

Global Offer An offer available to all VIP Members, regardless of tier or location (unless location-specific).

Google Pay Google's digital wallet service for Android devices. Hedges VIP issues wallet passes compatible with Google Pay.

I

Inactivity Expiration Automatic card expiration after 6 months of no visits. Prevents inactive cards from accumulating in the system.

Insights Top-level sidebar section for looking back: Reports, Activity Log, and Exports.

K

Kiosk Mode The Staff workspace mode set per device — Door, Bar, Sign-Up, or All. Determines which tools Staff sees when they open the app on that device. Set at device first-launch and changeable by Location Admins.

L

Location A specific physical venue within an Organization (e.g., "Main Venue", "Rooftop Lounge").

Location-Scoped Data or permissions that are limited to specific locations. Location Admin users see location-scoped data only. (Code identifier: LOCATION_ADMIN.)

Location Admin A user role with management access to specific assigned locations but not the entire Organization. Previously labelled "Location Manager".

M

Manager Override The ability for managers to manually adjust discounts or approve exceptions. All overrides are logged with a required reason.

Member The VIP cardholder — the people your Organization is trying to attract and retain. Previously called "Customer".

Multi-Tenancy The platform architecture that allows multiple independent Organizations to use the same system while keeping their data completely separate. The database column is still named tenantId for historical reasons, but the user-facing entity is always "Organization".

N

Night Session A record of a Member's visit to a location on a specific business date. Used to track visits and prevent duplicate ticket issuance.

O

Offer A time-limited promotion sent to VIP Members, such as "50% off drinks tonight 9-11pm". Delivered via push notification to wallet passes. Lives under Engage → Offers.

Organization The top-level entity that owns a HEDGES account. An Organization has one or more Locations and is operated by Org Admins. The database column is tenantId for backwards compatibility, but every UI label and route says "Organization". Replaces the term "Tenant".

Org Admin A user role with full administrative access to all locations within a single Organization. Previously labelled "Tenant Admin". (Code identifier today: TENANT_ADMIN; planned rename to ORG_ADMIN.)

Outside Promotions The user-facing label for external partners who bring guests in for commission. Has its own focused workspace at /promoter-portal/*. Previously labelled "Concierge". (Code identifier today: OUTSIDE_PROMOTIONS; planned rename to PROMOTER.)

P

Perk An ongoing benefit associated with a card tier, such as a discount percentage or free cover charge. Lives under Engage → Perks.

Perk Rule A configuration that defines which perks apply to which card tiers at which locations.

People The Settings workspace that manages every non-Member persona in one place: Org Admins, Location Admins, Staff, and Outside Promotions invitations + active accounts. Broadens the former "User Management" page.

Platform Admin The highest-level user role, with access to all Organizations and system-wide settings. Typically used by Hedges VIP platform staff. (Code identifier: PLATFORM_ADMIN.)

Promoter The internal code/route identifier for the Outside Promotions persona. URLs use /promoter and /promoter-portal; the UI label is always "Outside Promotions". (Eventual enum value: PROMOTER; today still OUTSIDE_PROMOTIONS.)

Push Notification An alert sent to a Member's mobile device when a new offer is published or their wallet pass is updated.

R

Redemption The act of using a ticket at the bar to receive a VIP discount on drinks.

Redemption Rate The percentage of issued tickets that are actually redeemed at the bar.

Return Visitor A Member who has previously visited and is coming back. Higher return visitor rates indicate strong loyalty.

REVOKED (Card Status) A permanently canceled card, typically due to fraud or a banned Member. Cannot be reactivated.

ROI (Return on Investment) A metric calculated as: (Net Revenue - Program Costs) / Program Costs × 100. Used to measure VIP program profitability.

Role A user's permission level in the system. UI labels: Platform Admin, Org Admin, Location Admin, Staff, Outside Promotions.

S

Sign-Up Assets The Acquire → Sign-Up Assets workspace, where Org Admins generate Sign-Up Cards and Poster QRs for in-venue enrollment. Consolidates the former /admin/signup-cards and /admin/poster-qrs pages into one tabbed page.

Sign-Up Card A physical or digital card containing a Sign-Up QR. Previously called "Promo Card".

Sign-Up Scanner The Staff kiosk mode tool used to enroll Members at the venue. Previously located at /promo; now at /sign-up.

Slug A URL-friendly identifier using only lowercase letters, numbers, and hyphens (e.g., "gold-vip"). Required when creating card categories and levels.

Staff A user role for anyone working the venue floor. One role, multiple per-device kiosk modes. Previously called "Promo". (Code identifier today: PROMO; planned rename to STAFF.)

SUSPENDED (Card Status) A temporarily disabled card, usually due to payment issues or rule violations. Can be reactivated.

T

Targeted Offer An offer sent only to specific Member segments, such as a particular card tier.

Tenant Legacy term. See Organization. The database column tenantId is retained for backwards compatibility, but every UI label and user-facing surface uses "Organization".

Ticket A physical or digital token issued when a Member enters a venue, used to redeem VIP discounts at the bar. Valid only for the issuing location and business date.

Ticket Token The unique code printed on a ticket, used to validate redemption.

Tier See Card Level.

V

Validity Period The date and time range during which an offer is active and can be redeemed.

Visit A single entry by a Member to a location on a specific business date. Multiple scans on the same business date count as one visit (re-entries).

Visit Frequency The average number of visits per Member over a given time period. Key metric for engagement.

W

Wallet Pass The digital card stored in Apple Wallet or Google Pay, containing Member information, barcode, and VIP benefits.

Wallet Provider The backend service (Apple Wallet API or Google Pay API) that manages digital wallet passes.
